Vendor B wins by more than 25%. And this ignores the cost of a machine sitting dark while a joystick fails on a Friday night. That cabinet isn't just costing parts and labor—it's losing revenue. Realistically, $20 to $60 per night at that venue, depending on traffic.

One more thing: total cost of ownership isn't just about hardware. It applies to documentation, training, even the way a vendor communicates. A manual that's confusing generates support calls. A vendor that doesn't respond quickly generates delays. Those costs aren't on the invoice, but they come out of your budget one way or another.
And know where your expertise ends. I can judge specs and materials. I'm not a fitness trainer, and I said so before recommending changes to the leg press manual. Getting the right person involved early saves more than it costs.
We shipped the client's full order on schedule. Six months later, our field team reported zero component failures across all 15 arcade cabinets.
